The hours for this part-time position include working on Tuesdays only in city hall from 10 a.m. to 2 p.m. EST and attending commission meetings on the third Monday of each month.
General Duties and Responsibilities
- Prepares agenda for regular and special commission meetings and forwards to city commission members and department directors; composes and transcribes minutes of those meetings, maintains individual filing system
- Attends all regular and special commission meetings and working sessions; takes minutes and records proceedings; receives commission approval of minutes of meetings; codes and files minutes
- Files ordinances, resolutions, executive orders, municipal orders, contracts, agreements, deeds, and other official documents of the city
- Maintains all records of commission actions; assures their safe keeping; answers inquiries regarding commission activities
- Assures publication of ordinances, legal advertising, and notification requirements
- Responsible for the codification of city ordinances within a five year period
- Serve as the clerk on the joint board of ethics for the city of Meadow Vale and collect financial disclosure statements on an annual basis
- Prepare and deposit checks/payments and send invoices for interlocal agreements
- Send out property tax bills and deposit payments as received
- Send out business licenses and notices
- Send out rental licenses and notices
- Create and publish monthly newsletter
- Maintains custody of the official seal of the city
- As “official custodian” or “custodian” pursuant to KRS 61.879-61.884 (open records act), is responsible for accepting open records tequests and providing requested information as permitted by law
- Attends monthly KIPDA clerk’s meetings and yearly KMCA Conferences
Special Licensing Requirements
- Must possess and maintain a valid driver’s license
- May be asked to obtain notary public certification
Availability
- Must be able to attend evening meetings and conferences
Certification Requirements
- Certification by the International Institute of Municipal Clerks (IIMC) and/or the Kentucky Municipal Clerks Association (KMCA) is preferred, but not required
Additional Requirements
Salary Information: Part-time, up to $7,500 annually. Meadow Vale has 287 households.
