This position performs general clerical, accounting, and/or receptionist duties for the Administration Division of the Police Department.

DUTIES: Uses computer to prepare and create correspondence, reports, spreadsheets, statistical analyses, or other documents; compiles information and types from written notes, forms, letters, or reports. Demonstrates excellent attention to detail and accuracy in data entry and record keeping; possesses excellent communication and interpersonal skills; prioritizes tasks and manages time effectively in a fast-paced environment. Answers telephone; provides information, takes and relays messages accurately, and/or directs calls to appropriate personnel or other agencies. Processes and completes payroll, including reviewing time clock software, reviewing and entering leave records, entering data into computer, reviews edits for time entry; enters and edits payroll. Performs general accounting tasks such as auditing and modifying vouchers for payment, issuing purchase orders, processing requisitions, and checking accounts to make sure sufficient funds are available to issue purchase orders and pay invoices; audits bills; provides accounting information of specialization to other employees; assists with budget preparation, reviews historic and recent expenditure trends, and prepares estimates for the next year; enters data into budget software; prepares and prints out needed reports, and other general office duties. Assists in coordinating travel arrangements for police employees; reviews travel forms for accuracy, ensuring adherence to applicable policies and procedures, and reviewing completed travel reconciliation forms. Assists with procurement card processing by matching invoices and receipts against procurement card statements and transaction information. Works with businesses and individuals to ensure proper forms are complete for vendors; monitors taxable benefits for employees. Researches and gathers data/information for the assigned area and prepares routine and special reports as required by the job or requested by supervisor. Attends staff and other professional meetings to exchange information; attends technical or professional classes or seminars to improve technical or professional skills.

Salary Information: $35,624/annually
