CITY OF RICHMOND POSITION

DESCRIPTION CLASS TITLE: Administrative Support Specialist

DEPARTMENT: Police

PAY GRADE: 12

CHARACTERISTICS OF THE CLASS
: Under the primary supervision of the Computer Systems Manager and administrative supervision of the Commander of the Support Services Division or his/her designee, enters various types and forms of information into working computer files within different sections of the police department and performs related duties as required.

DUTIES AND RESPONSIBILITIES:

  • 1) Responsible for entry of data into various computer systems and files, which may include information from arrests, citations, case reports, accident reports, intelligence reports, inventory systems, and other departmental sources.
  • 2) Responsible for recording and filing case reports, citations, accident reports, inventory reports, and other types of information as may be assigned.
  • 3) Responsible for assisting the public in obtaining information and reports by means of phone or in person.
  • 4) Assists in the ordering of equipment and entering items into the department's property inventory system and maintaining said system of inventory.
  • 5) Responsible for transmitting the various reports generated by the department to other government entities as required.
  • 6) Assists in the review of police recruit applications and the preparation and transfer of police recruit registration forms to the Department of Criminal Justice Training.
  • 7) Responsible for working with the TAC Officer/Dispatchers in supplying case information to the 9-1-1 Center as needed.
  • 8) Responsible for maintaining a working knowledge of the procedures required by the Kentucky State Police Record Section.
  • 9) Responsible for maintaining a working knowledge of the public safety and crimes software, to include the ability to enter information into this databases.
  • 10) Responsible for monies received from requested copies of reports. Prepares appropriate documentation of monies received and makes a deposit with the Finance department.
  • 11) Organizes and enters intelligence information into computer. systems and working with officers and investigators in analyzing the information.
  • 12) Assists in the preparation and writing of police policies and procedures for review by the police administration.
  • 13) Presents or assists in making public presentations and presentations to police peer groups as required.
  • 14) Responsibilities of Administrative Support Specialist include, but are not limited to, the above listed duties and may include other duties as assigned by supervisors in various sections.

TRAINING AND EXPERIENCE: At least one year of college education or the equivalent of 30 semester hours from an accredited university or college supplemented by at least one year of experience in working with groups and computer data entry and retrieval techniques.

SPECIAL REQUIREMENT: Due to the sensitive and confidential nature of the information being handled, candidates must be able to pass an in-depth background investigation.

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES: Accurate typing skills; effective writing skills; effective public speaking skills; experience in general upkeep of a computer; a demonstrated working knowledge of computer programs such as Excel, Word, and PowerPoint; ability to establish and maintain effective working relationships with employees, supervisors and the general public; patience; courtesy; confidentiality; and dependability.

Salary Information: $14.00 per hour
